Background

Elections Saskatchewan (ESK) is the province’s nonpartisan election management body and an independent office of the Legislative Assembly of Saskatchewan. ESK directs and supervises the administration of provincial electoral events, including the 2024 provincial election.

Summary

Working in Returning Offices, Administrative Assistants handle front-line interactions with electors and other stakeholders in the constituency and are focused on customer service.  Strong people skills, phone etiquette, and experience using computer applications are required.

Responsibilities

  • Serves as the primary point of contact for the returning office and greets visitors, potential candidates and voters
  • Provides administrative support to the returning officer and election clerk including scheduling appointments, greeting visitors, and other various administrative duties as required
  • Handle and direct in-person and telephone-based inquiries to the appropriate person
  • Assists with recruitment of election workers to ensure all voting location positions are filled before voting begins
  • Assists in setting up and closing the returning office
  • Helps the Returning Officer, Election Clerk, and Office Coordinator as requested

 Specific Skills

  • Have a strong familiarity with computer systems and related technologies, including:
    • Proficiency working in Microsoft Windows
    • Proficiency with Microsoft Office (Word, Excel, Outlook, etc.)
    • Aptitude working with Internet-based software and applications
  • Ability to meet tight deadlines
  • Strong organizational skills and attention to detail
  • Effective communication skills, both oral and written
  • Good telephone etiquette with clear enunciation
  • Able to handle pressure
  • Good attention to detail and accuracy when accomplishing tasks
  • Judgment, tact, and diplomacy in handling confidential information
  • Ability to maintain a good rapport with a variety of stakeholders

Availability

  • Election Period:
    • Available to work during hours office is open to the public, 4-8 hours a day, 27 day period
    • May be required to work longer hours during Early Voting days and the last day of voting
    • Evening and weekend work may be required
  • Post-Election Period:
    • Working hours in the office as determined by the Returning Officer

Compensation

The hourly rate for this position is $19.00.
